Built for funeral directors

Designed with the people who do this work every day

Built around the real workflow

Sixteen tracked statuses from case created to copies received, each with a clear responsible party.

Directors stay in charge

Every regulated step — submission, resubmission, registration — is recorded by a licensed director with a confirmation source.

Works alongside your EDRS

RestDoc coordinates the people and paperwork around registration. It never bypasses or replaces your state system.

Sandbox-safe by default

Nothing reaches a real certifier until you connect a provider and turn it on. Simulated messages are always labelled.

The problem

The certificate is the critical path — and it is held up by people you don't control

Burial permits, cremation authorizations, insurance claims, and estate matters all wait on one document. RestDoc360 keeps that document moving.

Today

Hours each week on the phone and fax chasing physicians for signatures.

With RestDoc360

Automated, professional follow-up with certifiers on a cadence you set — business days, quiet hours, optional approval before every send.

Today

No visibility into which cases are stuck, with whom, or for how long.

With RestDoc360

A dashboard that shows every case, its status, who is responsible, and how many days it has been waiting.

Today

Records returned by the registrar for typos, then lost in email threads.

With RestDoc360

Rejections are recorded with the reason, assigned for correction, and tracked through resubmission.

Today

Families calling for updates that staff cannot easily answer.

With RestDoc360

Plain-language, family-safe status messages and an optional secure family portal — never medical details.

Today

Spreadsheets, sticky notes, and five inboxes holding the same case.

With RestDoc360

One case record with timeline, correspondence, documents, and escalations — audited end to end.

Today

No idea which certifiers are consistently slow, or how long registration really takes.

With RestDoc360

Turnaround reporting by certifier, location, and director, so conversations are grounded in facts.

What you get

One system for the whole certificate lifecycle

From the first call to certified copies in hand, every step is tracked, every delay is visible, and every action is recorded.

Automated physician follow-up

Policy-driven reminders by email (and SMS when configured), paused automatically when the certifier responds.

Case tracking

Every death certificate case with status, responsible party, deadlines, timeline, and documents in one place.

Escalations

Unanswered follow-ups, returned records, and approaching deadlines surface in one inbox with severity and ownership.

RestDoc AI (advisory)

Suggested next steps, drafted correspondence, and plain-language summaries — labelled as suggestions, never auto-applied.

Family portal

A secure, link-based progress page with reassuring, non-technical language and no confidential details.

Reports

Turnaround by certifier and location, rejection reasons, follow-up effectiveness, and exportable CSV.

Integrations & manual EDRS entry

Connect email and messaging providers; record EDRS submissions and registration confirmations with a source of truth.

Security

Tenant isolation, encrypted secrets, full audit logs, MFA, and role-based least-privilege access.

Follow-up, on autopilot

Reminders go out on your schedule and stop the moment the certifier responds

Business days only, inside your quiet hours, with an optional approval step before every send. After the third unanswered reminder the director is alerted and an escalation opens with a recommended next step.

How it works

Four steps, fully tracked

  1. 01

    Open the case

Enter administrative details, assign a director, and set the priority. No medical information is ever collected.

  2. 02

Assign the certifier and start follow-up

Pick the physician, medical examiner, or coroner from your directory and activate a follow-up policy.

  3. 03

    Resolve delays early

Escalations flag silence, returns, and deadlines. Acknowledge, snooze, assign, or resolve with a note.

  4. 04

Record registration and inform the family

Register in your state EDRS, record the confirmation in RestDoc, order copies, and keep families updated.

Families stay informed

Reassuring updates in plain language, never medical details

Families can check a secure progress page at any hour, and the funeral home approves every milestone message before it goes out. Nothing confidential ever leaves the case file.

Security & compliance

Built to be trusted with sensitive administrative data

Funeral homes handle information families expect to be protected. RestDoc360 is designed with safeguards at every layer.

HIPAA-aware design; applicability assessment required

RestDoc360 is designed with HIPAA-aware safeguards, but whether HIPAA applies to your use must be assessed by you and your counsel. A Business Associate Agreement must be in place before any live protected health information is entered. We do not claim HIPAA certification.

  • Tenant isolation

Every query is scoped to your organization. Platform staff cannot view case details without an audited, time-boxed support grant.

  • Encryption

TLS in transit; provider credentials and integration secrets are encrypted at rest.

  • Audit logs

Status changes, sends, assignments, logins, and settings changes are recorded with actor and timestamp.

  • MFA

Time-based one-time passcodes for every user; administrators can require it.

  • Least privilege

Owner, Administrator, Funeral Director, and Staff roles with a clear permission matrix.

  • What we never do

    • Sell or share data for advertising
    • Store cause-of-death or SSN fields
    • Mark a message delivered unless the provider confirms it

FAQ

Questions funeral directors ask us

Does RestDoc360 file death certificates or connect to our state EDRS?

No. RestDoc360 is an administrative coordination tool. Licensed funeral directors continue to register records in the state EDRS exactly as they do today. RestDoc tracks the case, coordinates follow-up with certifiers, and records the confirmation you enter after registration.

Will it email real physicians during my trial?

Not unless you turn it on. Trials run in sandbox mode: follow-ups are generated and visibly labelled “Simulated (sandbox)” so you can see exactly what would be sent. Live delivery starts only after you connect an email provider and enable it.

Does the system store medical information?

No. There are no cause- or manner-of-death fields and no Social Security number fields. Outbound messages are checked for sensitive content before they are sent.

Is RestDoc360 HIPAA compliant?

RestDoc360 is designed with HIPAA-aware safeguards (tenant isolation, encryption, audit logging, MFA, least privilege), but whether HIPAA applies to your use depends on your role and the data you enter. We do not claim certification. If you determine a Business Associate Agreement is required, contact us before entering any protected health information.

What does RestDoc AI actually do?

It suggests next steps, drafts professional correspondence, and summarizes case history. Every suggestion is labelled, requires a person to act, and never changes a regulated status on its own. Without an AI provider configured, a transparent rules engine provides the same guidance.

How long does setup take?

Most funeral homes create their organization, add team members, import their certifier directory, and open their first case in under an hour. Enterprise onboarding is handled with a dedicated specialist.
